How to find a headteacher's email address

Most UK schools publish more than people expect — the difficulty is knowing where to look and how to tell a real address from a guess.

Start with the school's own website

Every maintained school and academy in England must publish certain information online. The pages worth checking, in order: Contact us, Our staff or Meet the team, Governance, and the school's most recent newsletters. Newsletters are the single most under-used source — they routinely name new appointments, departures and role changes months before the staff page is updated.

Also check any downloadable PDFs: admissions policies, prospectuses and SEN information reports often carry a named contact and a direct email in the footer.

Understand the address pattern

Schools use a small number of formats. The most common in the UK are initial.surname@school.domain, initialsurname@school.domain, surname.initial@school.domain and role mailboxes such as head@, headteacher@ or office@.

If you can find any named staff email on the site, you have the school's pattern — and you can apply it to the head. If you can only find office@, you have no pattern, and anything you construct is a guess.

Trusts change the picture

Where a school is part of a multi-academy trust, email may run on the trust domain rather than the school's, and a central team may handle procurement entirely. Check the trust website before assuming the school domain is right.

Verify before you send

A bounced email at a school damages your sender reputation quickly, because schools sit on a small number of filtering providers. Treat addresses in three bands:

Published — printed by the school itself. Safe to use. Verified pattern — constructed from a pattern the school demonstrably uses, and confirmed by a validation check. Usually fine. Guessed — no pattern evidence. Don't send; ring the office instead.

What about GIAS?

The Department for Education's Get Information about Schools register lists the head's name for most schools, along with the phone number and postal address — but never an email. It's an excellent way to confirm you have the right person and the correct spelling before you look for the address.

SID does this automatically for every school in England — published addresses first, pattern matches flagged, guesses labelled as guesses.
